JOB TITLE: Head of Project Management Office DEPARTMENT: Business Operations Responsibilities: - Establishing and running the Project Management Office with the objective of ensuring all projects are delivered using a best-practice- Project Delivery Approach and are delivered within the agreed scope, time, and quality. - Responsible for overseeing the portfolio of organisational projects, providing expert knowledge and support and monitoring progress and reporting on the portfolio status. Secondly managing projects/programmes directly. Finally, the development, introduction and on-going iteration of the organisation's Project Delivery Approach. - The role is expected to provide strong leadership in a matrix environment to promote best practices in managing interrelated projects and programmes to ensure successful delivery. This role will also ensure project resources have the correct toolsets and processes in place and that all relevant staff are trained and equipped to deliver successfully. - Strong project or programme management and excellent organisational skills are fundamental, as is the ability to liaise with people at all levels of the organisation. Key objectives and targets PMO Management - Manage the day-to-day activities in the team - Manage the PMO team and provides performance feedback and goal setting; conducts annual performance assessments and skill development and training - Ensures a clear and consistent approach is in place to manage risk with alignment to the Finance &amp; Business risks - Collate qualitative and quantitative information on project performance for the preparation and production of project reports for internal management purposes - Work closely with Business Services teams (as well as internal and external project partners where appropriate) to devise, develop and deliver appropriate and proportionate systems to evaluate key activities at a project level - Provide advice and support to project partners on how project evidence and information must be presented and reported Project Delivery - Ensure detailed project, implementation or actions plans are created for the duration of each project as appropriate using appropriate tools - Ensure projects have requirements documented and agreed to ensure that project activity meets agreed project objectives - Ensure monitoring of progress against all projects is timely and accurate and enables Sponsors and stakeholders have visibility and enough information to make the required decisions - Ensure risks, issues and dependencies are being recorded, monitored and proactively managed to minimise disruption to successful delivery - Participate in project reviews, approvals, and gating processes - Keep stakeholders informed of project status and deliverables, as well as risk and mitigation strategies - Be accountable for project results of staying on-budget, on-schedule, and meet or exceed expectations. - Ensure the appropriate and relevant level of testing is in place for all projects e.g. system, regression, UAT with stakeholder sign-off as part of the gating process - Deliver an effective and timely schedule of project communications liaising with the relevant Sponsors and stakeholders including the Communications - Define and mitigate overall project risk through conflict and issue resolution with the relevant stakeholders - Convert requirements into tasks and determine task priorities for individual team members and the project as a whole. Key Measures - Ability to meet time and quality objectives when delivering projects - Whole solution milestones delivered against plan - Adoption of PMO processes and governance across the key business areas - Production of consistent project artefacts such as project plans, risks, status reporting, closure reporting - Feedback on services provided by the PMO and improved stakeholder perception in regard to PMO services and value to the business - Adoption of central PMO repository and ownership of all PMO data
