Hilti - Fleet Operations Executive (2-3 yrs)

Purpose of Position :

As a Fleet Officer, managing the entire operations of Fleet for Pan India including day to day operations to support our market reach team who all are availing the company leased cars.

Responsibilities & Accountabilities :

- Managing the Leased car fleet of 630+ cars along with Fuel card (BPCL/OCL)across pan india.

- Immediate resolution on escalation raised by internal stakeholder.

- Keep track and update on existing/new vehicle data on regular basis.

- Keep record of handover the car/Fuel card to eligible person as per the car allocation matrix.

- Adhere the company process & policy, ensured processes are followed and identified areas for improvement.

- To verify/validate the invoices against leased car to process the payment on monthly basis.

- Effectively managing cashless service offering in remote locations where leased cars ply.

- Managing relationships with all OEM manufacturers & Leasing partners for prompt vehicle delivery and test drives.

- Responsible for effective and timely resolution of User / Client Complaints thereby ensuring high satisfaction levels.

- Maximum utilization of vehicles in pan india and make sure that the minimal no of vacant car.

- To ensure that the vehicle should be branded (Sticker) as per company guideline.

- Liaison with the internal stakeholder ( HR/Sales/Marketing) in forecasting future requirements and pro-actively align

For New lease car projection :

- Coordinate & upload the RFQ as per requirement with the leasing partners and negotiation with them.

- Proper planning to send back the lease expiry vehicles on time and exchanging the existing car with new one.

- Coordinate with internal stack holder for documentation related to RTO documents.

- Allocation of fuel card to the sales team and keep monitoring the fuel expense on monthly basis.

- Every first week of the Month, fuel expense report must be submitted the finance team for further processing.

- Quarterly audit/verification of entire fleet and fuel card.

- Monthly review meeting with all the leasing partners related to the operational challenges faced by our employee.

- Quarterly reconciliation with respective leasing company and get the NDC from them.

Person Specification :

- Any Graduate / Post Graduate with 2 - 3 years of experience of Fleet Management profile.

- Ability to prioritize and manage the work effectively

- Strong communication and active listening

- Strong Analytical and presentation skills
