Profile - Senior CreditControl Manager

Objective

To achieve continuous improvement in invoice quality and debt management and achieve results that is recognized as best in Industry /class.

Purpose of the Job

To manage the Credit Control team in order to mitigate risk associated with customer credit and increase the inflow of cash available to the company by efficiently managing the collection of overdue invoices, whilst maintaining high levels of customer satisfaction.

To ensure that all invoice queries are resolved in a timely manner, and support the Billing Function to ensure clean invoices are issued to our customers and getting paid quickly.

Scope

DTDC Express Ltd customers (both internal & external).

Credit Control team, Billing team.

Authority

Authorized to control all staff, equipment and systems deployed within the Billing and Credit control department environment. Seeks approval for necessary capital expenditures and resources in line with the organization's rules and the Credit Control processes.

Measurements

Strategic Targets / Budget - as set in the following areas

<70 day's of DSO

<25 % over 60 days debt

> 85% Quantum collection.

100% invoice submission to the customers by 5th of every month.

< 2% bad debt as a % of total ledger value.

CO MIS delivery as per the agreed TAT

Recruitment and development of Credit control and Billing team

Key Activities / Accountabilities

Resource management

To ensure effectively staff and monitor resources in order to meet and exceed internal and external service levels at all times.

- Ensure the Credit Control department is sufficiently resourced

- Monitor effectiveness of equipment and report problems to the helpdesk.

Credit Control Management

To ensure, manage and deploy risk mitigation of customer credit and the collection of outstanding debt from customers in a timely and professional manner.

- Evaluate customers credit worthiness to support the sales process

- Perform customer account reconciliation when required

- Perform AR to GL reconciliation where not automatically performed within an integrated system

- Ensure collection systems are maintained efficiently and accurately

- Sign off bad debt write offs in line with Credit Control policies

- Support other departments for swift resolution of queries

- Escalate problem collections to superiors and sales force as appropriate

- Manage the relationships with external suppliers, such as debt collection agencies, by monitoring and maintaining agreed service levels.

- Advise withdrawal of credit facilities to customers who have exceeded pre-determined credit limit without timely payments.

- Ensure that the customer is clearly made aware of DTDC Courier & Cargo Ltd payment policy and invoicing procedures before signing up the agreement.

Query Management - 

To ensure the resolution of invoice related queries and complaints from customers in a timely and professional manner.

- Approve credit notes when appropriate and within a timely manner

- Process customer claims on a timely manner.

- Identify recurring queries and implement corrective action

- Ensure completeness of query logging and reporting in accordance with company policy

- Escalate queries to superiors as appropriate

- Ensure query systems are maintained efficiently and accurately

Administration

- To ensure, and monitor the timely delivery of invoices

- Ledger review to be done to ensure that there are no old outstanding lying un-resolved

- To ensure timely ledger maintenance

- To visit the RO branches on regular basis, and hold meetings with the credit control teams

- To ensure the proper and timely input/updating of systems.

Reporting

- Generation of weekly and monthly reports to know the collections, and status of debts and to keep a track of how individual CC's are progressing.

- Reporting of DSO, and Aged debt % on a monthly basis for individual CC's.

- Setting up the targets for CC Team in consultation with the tor.

- To make a proper analysis of debts and credit notes

- To provide necessary data to management on debts and customer queries.

- To attend any other special assignment as and when required by the management.

Occupational Health and Safety

- To identify all risks and hazards in the work place and provide the means to prevent harmful exposure.

- To provide and maintain safe work systems.

- To ensure all employees comply with the Health and Safety legislation and company policies.

- To ensure that all employees understand, implement and apply all the safety measures which have been identified.

- To inform Occupational Health and Safety representatives of any incidents which occur in that designated area of the workplace

Departmental and cross-functional process improvement

To cross-functionally analyze, agree, implement and monitor credit control processes and activities in order to continuously action issues and improve efficiency and effectiveness.

- Create and maintain a close working relationship with sales force regarding activities that impact the collection department

- To liaise with customers and the sales force and visit customers where necessary/appropriate

- Monitoring quality, efficiency and risk to ensure controls are effectively in place and implementing corrective actions where appropriate.

- Analyze debt structure and portfolio and improve credit approach in line with the credit policies guidelines per customer segment.

- Identify and correct weaknesses in process or system efficiency

- Provide performance management reports to superiors

People management

To lead, motivate and empower staff through effective and open communication, excellent leadership, regular performance feedback and team building, in order to maximize customer satisfaction, business results and employees- satisfaction.

- Ensure the compliance to formal recruitment procedures, with Human Resources

- Ensure effective communication and dissemination to all staff in the Credit Control team

- Through training and coaching, ensure that staff are equipped with the right skills, knowledge, competencies

- Establish a coaching mindset and culture in the team by ensuring that regular and effective coaching is in place for all employees and supporting the Team Leaders in their coaching practices.

- Ensure that the correct processes for employee counseling and/or discipline are in place.

- Implement challenging but achievable reward and recognition schemes, in collaboration with Human Resources, which help to create highly motivated staff, and to reward excellent performance through both financial and non-financial means.

- Participate in the implementation of succession-planning frameworks

- Ensure that management are aware of the needs of employees through the effective management of employee satisfaction surveys and accompanying action plans, and through two-way through forums and suggestion schemes.

- Actively measure and analyze employee retention rates and feedback gained from exit interviews, to understand and act upon the factors affecting employee retention.

- Conduct regular individual coaching and annual Performance Reviews of the Team Leaders

- Conduct regular group review meetings with Team Leaders to assess team performance and progress against business plans.

- Promote the corporate values through active participation in the corporate initiatives.

- Comply with all Company related policies, procedures and legal requirements (HR, Health & Safety, Security, etc.)

Project work

To contribute to the effective rollout of cross-functional projects, through contribution of professional expertise and leadership.

- Manage internal Credit Control projects

- Ensure achievement of action points assigned.

- Ensure the involvement of those with the appropriate expertise and accountability.

Work group activities

To participate in or support the Corporate Credit Control Work Group activities in order to establish consistent Billing practices and improve performance through process and procedural changes.

- Contribute to the Corporate Credit Control Work Group activities and decision through professional expertise

- Share local best practices

PERSON PROFILE

Sr.Credit Control Manager Essential Educational and / or Training Qualifications & Certificates

- Minimum Bachelor's Degree preferable Bcom.

- Credit professional certification (ICM or other recognized organisation)

Preferred Experience and Knowledge

- Good verbal and written English skills

- Minimum 5 years working experience in a Credit Control environment.

- Extensive knowledge of the Transport industry, local and international

Necessary Technical / Functional Skills

- Project Management skills

- Financial skills, e.g. cost/benefits scenarios in order to make a decision

- Knowledge of local fiscal requirements

- Working Knowledge of SAP ERP system is a must.
