Job Description - The Head of Operations position aids as a company leader and overseeing day-to-day operations. He/she is accountable for overall operations management of property management services across the commercial portfolio ensuring delivery of standard, consistent, efficient & best in class services by the property management partners in each park / site.

Description

- On behalf of the Owner, set up and agree on:Scope of services, Service Level Agreements (SLA) defining requirements & expectations, Performance measurement and management process (for property services) including setting up Key Performance Indicators (KPIs - measurable and reportable) and Overall reporting processes (requirements, frequency, formats etc.)

- Review, standardize and establish quality system documentation consisting of policies, processes and procedures for various functions of business operations and complying with the ISO / QS standards including the following areas:Operations, Operations Risk Management, Environment, Health & Safety, Occupier relationships and communications, Procurement and Finance & Accounting

- Provide strategy and drive implementation of strategic asset management programs and best practices (Asset coding, concepts of Total Productive Maintenance, Annual Shutdown programs etc.).

- Support the Property Management (PM) partners to establish a standard service vendor management & contract management strategy across all the properties. Strategy to include setting up of SLAs and KPI scorecards for all the service vendors.

- Review and establish standard OPEX and Service Charge (CAM) budget templates and support PM partners to establish annual budgets

- Establish internal and external benchmarking process for property & asset management services and OPEX / Service Charge (CAM) budgets. Drive continual optimization of services and costs across the portfolio.

- Setup and agree on internal review strategy for ensuring compliance to the established systems & processes and best practices; implement internal reviews / audits & provide gap analysis reports; work with PM partners and drive implementation of corrective / preventive action plans.

- On behalf of the Owner, establish an occupier engagement & relationship management strategy; establish, work with the PM partners and drive implementation of online quantitative Occupier Satisfaction Surveys and subsequent action plans arising in response to such feedback.

- Work closely with the Project Managers responsible for design and delivery of the project to drive delivery to forecast cost and cashflow, product quality, time and safety.

- Support the Project Management team on the Detail Design Delivery Process as required. Ensure that the Build ability issues / areas are addressed and resolved during construction.

- Lead and anchor the transition process to ensure smooth handover of the completed project to end user / customer / Services team. Ensure all contract closure and ensure commencement of Defects Liability Period (DLP) as per contract terms and conditions.

- MIS reporting system to enable robust financial planning and forecasting for the business - spends, income and timing as well as operational efficiencies.

- Operations: Set up a standard MIS reporting process (providing and facilitating qualitative & quantitative data analysis), agree & work with the PM partners for implementation across the portfolio. The process to include Comprehensive Monthly Reports (on various aspects of property & asset operations and management) - at the property level as well as at the portfolio level. The key aspects to include: Highlights of activities carried out during the month, Quantitative update on operations (tenancy, parking, utilities, infrastructure, safety & security etc.), Performance of portfolio and vendors against agreed KPIs/Monthly score cards, Operational Budget & Service Charge (CAM) Management including Spend vs Budget analysis, Statutory compliance, Contract management and Occupier engagement & management (helpdesk, monthly meetings etc.)

Profile

- BE (Civil, Electrical, Mechanical discipline)/BTech Graduate. Post Graduate Degree/Diploma in Project Management preferred.

- At least 18 years of experience with Real Estate Developer organisations or International Project Management Firms. (with 12 years in Commercial Real Estate)

- Demonstrated track record of successfully planning and executing medium and / or large scale commercial and / or large scale mixed use projects.

- Exposure and experience working with quality systems and process

- Strong inter personal skills and experience in People Management both direct and across matrix internal organisation - Should be effective in delivering outcomes through others

- Ability to build and strengthen partnerships 


- Engage and collaborate effectively with service partners

- Strong project development and project management experience in new build and fit out of commercial office premises

- In-depth understanding of commercial property operations, building engineering management and maintenance, and occupier relationships and technically proficient to engage effectively with teams / partners

- Awareness and understanding of commercial, legal and regulatory aspects

- Strong IT Skills - Including use of technology / IT Solutions in Real Estate
