Job Title : Manager - Admin. Position Title : Manager - Admin. (Accommodation & Transport) Reports to : Head - Admin. & Facilities Unit Department : Human Resources & Admin. Location : Chamarajanagar Role Description: - Shall be responsible overseeing effectively and efficiently the Company Guest Houses; Hostels; Transport Operations , Chamarajanagar; including general upkeep and maintenance of Guest Houses; Hostels; effectively running the Company provided transport facility to eligible employees and ensuring that Employees utilizing these facilities are abide and adhere to the policy guidelines of Guest House / Hostel and Transport Facility at all times. Shall also be responsible for managing these services and facilities within the approved budgets and optimizing the costs without compromising on quality of service at all times. Primary Duties and Responsibilities: A. COMPANY GUEST HOUSE MANAGEMENT : - Shall work very closely with Head - Facilities and General Administration in effectively managing the Company Guest House in all aspects including allotment of rooms; guest relations; etc. - Identify suitable accommodation for setting up Guest House facility for Employees and Guests to stay and negotiate for better facility; amenities and also price and execute timely agreements and contracts with the land-lords. - Periodically review the contracts and agreements and re-negotiate wherever possible and applicable for optimizing the cost of running the Guest House and contribute for cost optimization. - Ensure appropriate cleanliness and general upkeep of all Company Guest Houses at all times by implementing appropriate pest control and other cleaning methods. - Ensure properly trained and adequate housekeeping staff are deployed at all times to ensure cleanliness of the Guest House rooms; premises and kitchen. - Supervise and guide the guest house team in timely carrying out of activities such as greeting visitors, providing required facilities; ensuring proper entry and exit of guests; and making necessary entries in the Guest House Register. - Ensure that conference rooms, meeting rooms and reception areas are kept neat and clean and always ready for appropriate use. - Ensure that Guest Houses are used for the designated purposes only at all times. - Ensure that Guest House Policy and Procedures are strictly implemented and inmates adhere to those without fail. - Intimate / escalate any issues at the Guest House relating to safety; health and security of people and property immediately to the Reporting Manager / Plant Head - HR for further guidance and action. - Ensure adequate safety; security of people property at the Guest House by monitoring the security services deployed at the Guest House. - Attend timely for any repair / maintenance issues and provide solution in consultation and approvals from Head - Facilities & Administration / Plant Head - HR. - Coordinate with land-lord for timely remittance of all applicable taxes and payments to the authorities concerned to ensure peaceful possession of the property by the Company. - Ensure that all payments to the authorities are made within the due dates related to Electricity; Water consumption; and any other utilities. - Periodically review the performance of Guest House Housekeeping Staff; Cooking staff and provide feedback to them and also escalate if there are any disciplinary / behavioral issues found that are not acceptable to the Management. - Keep a close-tab on all the equipment; assets that are deployed in the Guest House and ensure that they are in good working condition at all times. - Ensure that the list of Company Assets are maintained separately and provided to Finance Department as and when updated. - Ensure that the list of Assets deployed by the Land-lord in the guest house and ensure they are handed over safely to the Land-lord at the time of vacating the premises. - Ensure that the agreements / contracts are renewed from time to time as per the due dates. - At the time of vacating the premises, ensure that vacant possession of the property is handed over to the Land Lord and any Refundable Security Deposit is recovered from the Land-lord after adjusting any outstanding dues payable to the Land-lord by the Company. B. HOSTEL / DORMITORY FACILITY MANAGEMENT: - Shall work very closely with Head - Facilities and General Administration in effectively managing the Hostel that has been leased by the Company or the Dormitory Facility within the Factory Premises in all aspects including allotment of rooms; guest relations; etc. - Identify suitable accommodation for setting up Hostel Facility for Employees to stay for longer durations to ensure smooth and effective commuting between the Hostel and the Workplace and negotiate for better facility; amenities and also price and execute timely agreements and contracts with the land-lords. - Periodically review the contracts and agreements and re-negotiate wherever possible and applicable for optimizing the cost of running the Hostel Facility and contribute for cost optimization. - Ensure appropriate cleanliness and general upkeep of all Hostels / Dormitory Facility at all times by implementing appropriate pest control and other cleaning methods. - Ensure properly trained and adequate housekeeping staff are deployed at all times to ensure cleanliness of the rooms; premises and kitchen at the Hostel / Dormitory Facility. - Supervise and guide the Hostel / Dormitory team in timely carrying out of activities such cleaning the premises; cleaning the rest rooms; bath rooms; common areas; living area; dining area and kitchen; providing required facilities; ensuring proper entry and exit of Employees staying the Hostel / Dormitory Facility; and making necessary entries in the Register maintained for the purpose. - Ensure that Hostels / Dormitory Facilities are used for the designated purposes only at all times. - Ensure that Hostel / Dormitory Facility Policy and Procedures are strictly implemented and inmates adhere to those without fail. - Intimate / escalate any issues at the Hostel / Dormitory Facility relating to safety; health and security of people and property immediately to the Reporting Manager / Plant Head - HR for further guidance and action. - Ensure adequate safety; security of people property at the Hostel / Dormitory Facility by monitoring the security services deployed at the Hostel / Dormitory Facility. - Attend timely for any repair / maintenance issues and provide solution in consultation and approvals from Head - Facilities & Administration / Plant Head - HR. - Coordinate with Hostel Building Land-lord for timely remittance of all applicable taxes and payments to the authorities concerned to ensure peaceful possession of the property by the Company. - Ensure that all payments to the authorities are made within the due dates related to Electricity; Water consumption; and any other utilities applicable to Hostel Premises. - Design; Draft and roll out the Do's and Don'ts applicable to the Employees staying in the Hostel / Dormitory Facility and ensure that they adhere to these guidelines at all times. - Periodically review the performance of Housekeeping Staff; Cooking staff deployed at the Hostel / Dormitory Facility and provide feedback to them and also escalate if there are any disciplinary / behavioral issues found that are not acceptable to the Management. - Keep a close-tab on all the equipment; assets that are deployed in the Hostel / Dormitory Facility and ensure that they are in good working condition at all times. - Ensure that the list of Company Assets are maintained separately and provided to Finance Department as and when updated. - Ensure that the list of Assets deployed by the Land-lord in the Hostel Facility and ensure they are handed over safely to the Land-lord at the time of vacating the premises. - Ensure that the agreements / contracts of Hostel Facility are renewed from time to time as per the due dates. - At the time of vacating the hostel premises, ensure that vacant possession of the property is handed over to the Land Lord and any Refundable Security Deposit is recovered from the Land-lord after adjusting any outstanding dues payable to the Land-lord by the Company. COMPANY AND HIRED TRANSPORT MANAGEMENT - Identify; negotiate and engage transport service providers for the purpose commuting of employees from the designated pick-up and drop places to Factory in accordance to the work schedules. - Ensure that the Vehicles engaged are of good quality and condition and will always contain valid and required documents including RC; Insurance; FC; Emission; Permits and Licenses as applicable. - Ensure that all Drivers deployed by the service provider shall adhere to the rules and regulations of the Company at all times and ensure safety and security of Employees travelling in the vehicle. - Ensure that the Drivers shall carry a valid Driving License and required permission to drive the type of vehicle they are driving. - Ensure that the Drivers shall adhere to all Road Safety guidelines; laws and regulations while driving the vehicle and be courteous to the passengers. - Also ensure that in the Company engaged vehicles no un-authorized persons are allowed to travel. - Periodically review and renew the agreements and contracts to optimize the cost of transport expenses - Ensure that Employees who are utilizing the transport facility are briefed about the Route; Pick-up Time; Drop Time; Place of Pick-up and Drop etc., and are adhering to these guidelines without fail. - Ensure that any charges to be collected / recovered from Employees for using the Transport Facility is documented on a regular basis and information sent to Payroll for deductions. - Check and verify all the bills submitted by the Vendor in terms of time; distance travelled; number of employees travelled etc., and also ensure timely payments to travel vendor / support providers. - Ensure based on the need employee transport facility extended with and necessary routes; vehicles are deployed. - Manage transport expenses through vendor provided or company owned vehicles appropriately within the approved budgets. - Ensure employee safety and security while they are using the Company provided transport facility - Supervise and manage discipline; adhere to traffic rules and regulations by vehicle drivers and staff at all times. - Management of other Company vehicles (shared vehicles) and allot them for use of eligible Executives for official work. - Manage road tax; insurance and other remittances of Company vehicles at the due dates and ensure that there are no non-compliances. - Periodically ensure that Company Vehicles are subjected to service; repair and maintenance as and when required. D. MANAGING THE FOOD FACILITY AT WORK - CANTEEN / PANTRY FACILITY - Shall oversee the overall functioning of the Canteen / Pantry Facility at the Factory Premises; Guest House; Hostel / Dormitory Facility of the Company. - Shall authorize purchase of necessary groceries; food products and consumables to deliver a menu in line with the menu finalized by the Canteen Committee / Management. - Shall manage the supervise the performance of Canteen Cook; Helpers; Housekeeping Staff and Cleaners. - Shall plan; organize and monitor day to day operations of the canteen, including the rostering of Canteen Staff; daily record-keeping of food consumption; opening and closing the canteen; preparation and cooking for service and ensuring all workers sign in and out - Providing necessary training to canteen employees and staff to ensure the delivery of an affordable and quality food service to eligible Employees - Ordering, purchasing and checking all supplies against invoices and delivery dockets. - Processing payments to the Vendors / Suppliers with approvals from management. - Ensure that the canteen Staff use food preparation and food handling skills to minimize waste. - Ensuring that food products prices are monitored and value for money considered; - Counting, recording and reconciling the daily takings according to the attendance of Employees - Ensure that stock is kept at appropriate levels and a stock take is undertaken at the end of each month - Implement procedures and processes regarding food safety to ensure that correct food handling and hygiene practices are performed to prevent food spoilage, contamination and subsequent food poisoning; - Ensuring all canteen workers including helpers are familiar with correct food handling and hygiene practices in line with relevant legislation; - Ensuring the health, safety and welfare of others in the canteen including undertaking a canteen risk assessment for hazards periodically according to EHS legislation / Factory Act. - Ensure security in the canteen for money, keys, arming security alarms, locking all doors and windows, switching off all appliances (except refrigeration units) and restricting entry to the canteen to only those who are authorized - Ensuring that the cleaning incidental to the main function of the canteen is carried out daily (e.g. dusting of shelves and stock, wiping down benches, cleaning of all equipment and fixtures) in accordance to the cleaning procedures set out in the food safety plan; - Logging maintenance issues and adhering to EHS policies and procedures; - Ensuring a pleasant working environment for the Employees. - Ensure that the operation of the canteen is in line with the values of the Company Key Requirements - Education - Any Graduate with Master's in Business Administration (MBA) - Excellent verbal and written English Communication Skills (proficient) - Proficient user of Microsoft Office packages (Excel, Word, PowerPoint, Outlook) - Excellent orientation towards fleet management; vehicle routing; scheduling etc. Key Requirements - Experience & Skills: - 8 - 12 years of post-qualification experience in the areas of Transport Management; Fleet Management Liasioning; Vendor Management; Customer relationship. - Functional knowledge of Vehicle Management / Guest House Management / Canteen Management is mandatory; Excellent analytical, conceptual and problem solving skills - Highly developed interpersonal skills with solid negotiation, mediation and diplomatic skills - Excellence in collaboration; communication and creativity skills - Working knowledge of Kannada; Telugu & Tamil is essential.
