Job description Position: Executive Assistant Reports to: Country Head Position Summary A dynamic and collaborative Executive Assistant (EA) is required for Social Sector, Delhi Office. The EA will report to the Country Head who leads the India office and is responsible for directing the work of a team of program and operations staff working toward a shared team/regional strategy. The EA provides support to the Country Head both in administrative and programmatic responsibilities. Principal duties and responsibilities : - Support both strategic and tactical needs of the Country Head's Office. - Provide administrative and secretarial support facilitating the smooth functioning of the Head's office and supporting Program colleagues. - Be responsible for the correspondence flow from the Head's Office to both internal and external constituents. This includes Senior Government Officials, heads of other Foundations, diplomatic heads, and heads of grantee organizations, current and former Trustees of the Foundation. - Maintain necessary files for the Country Head's office, in compliance with statutory audit requirements as well as conforming to internal foundation guidelines. - Primary responsibility of this position is to optimize the Country Head's time by supporting and coordinating workflow and projects of the Office, moving forward on behalf of the Country Head. Skills, experience and knowledge : - A bachelor's degree or equivalent; Master's Degree preferred, or equivalent combination of education and experience in a related field. - 3-5 years' experience working in a program-related support capacity in social development sector. - Efficiency in data collection, review, analysis and reporting - Strong proficiency with the use of software platforms and high degree of comfort with multiple technology applications, including Excel, Word, PowerPoint and databases. Competencies : - Demonstrated ability to work successfully in a multi-faceted, multitasking environment. - Exceptional communications skills - strong active listening skills, constructive verbal and written skills, strong public presentation skills, high analytical ability - Diversity of experience working with a range of stakeholders, which could include government, multi-lateral institutions, think tanks/universities, consultancy firms, civil society, NGOs, networks and the private sector - Good team player with demonstrated teamwork skills - Highly functioning self-starter, able to autonomously identify, develop, prioritize, and move forward work across departments, manage multiple deadlines, and represent the Country Head in multiple environments. - Highly articulate and close attention to detail, with excellent planning and organizational skills. - Ability to maintain confidentiality and professionalism at all times.
