Job Title: Executive Assistant to Managing Director & CEO

Experience:5+

Location: Corporate Office, Malviya Nagar

ABOUT THE ROLE: This position is for the daredevils because it is demanding and comes with a huge responsibility. From performing various business and administrative tasks to supporting the CEO to stay up to speed, this person also needs to know how to hold confidential information and manage a very active calendar of appointments. They should also know how to plan, coordinate and ensure the CEO's schedule is followed and respected and be the host /chair meetings, conferences and ensure follow-ups on actions and deliverables from all stakeholders. Roles & Responsibilities:

Business & Administrative Support:

1.Completes a broad variety of business & administrative tasks for the CEO including: managing a very active calendar of appointments; completing expense reports; Minutes of Meetings; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, daily lunch/high tea arrangements and agendas; and compiling documents for travel-related meetings.

2. Lead inter-vertical projects / tasks as needed to logical conclusion.

3. Host / Chair meetings, conferences & ensure follow ups on actions & deliverables of all stakeholders involved.

4. Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.

5. Communicates directly, and on behalf of the CEO, with the other stakeholders on matters related to daily operational activities

6. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature. Works with stakeholders to determine the appropriate course of action or response to be given to the team members & provide briefing of the issue / solution to management team / CEO.

7. Prepare presentations for the CEO and other stakeholders for review by CEO / other stakeholders

8. Provides a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.

9. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the organization and keeping the CEO updated.

10. Handling special projects / tasks as and when required by the CEO

Qualifications Required:

1. Work experience as a Personal Assistant or a similar role

2. Should be open to travel if required

3. Outstanding organizational and time management skills

4. Discretion & confidentiality

5. Excellent verbal and written communication skills
