JD:
- Responsible for managing the office premises and daily operations in Bangalore. The portfolio will include over 165,000 square feet space across 4 facilities in Bangalore and also facilities in other cities of India. Prospects for this position will have demonstrated the ability to manage a large group of diversified functions. Accordingly, the individual must be an accomplished businessperson and a proven leader capable of building a cohesive team.
The successful candidate will have at least 15 years of pertinent business experience with a proven track record of consistently exceeding performance goals and managing operations in a demanding business environment.
- Must have experience in broad real estate, facilities management and project management.
- The ideal candidate would have experience as a senior level manager with knowledge of the Bangalore market and business culture.
Broad Operational Areas:
- Business Continuity Management manages Work Area Recovery management, Crisis Management planning, testing and education/awareness.
- Ensure that all services and facilities are geared towards redundancy with a view to ensuring BCP is taken care of in all situations.
- BMS operations to be centralized to the extent possible and metrics tracking to be implemented rigorously as well as incident management processes.
- Drills and Process trainings to be conducted in a calendarized manner - ERT teams to be formed and trained.
- Escalation Matrix to be updated quarterly.
- Facility & Operations Management. Overall costs of facilities and operations should be maintained within budget and with any limits defined from time to time without compromising on the quality of operations.
- New Projects to be planned and executed as per plan.
- Metrics for all as per budget and sign offs.
- Ensure all Statutory Compliances of all vendors in place like, quarterly, monthly and Annual reports.Ensure Minimal breakdowns. Systematic Maintenance Schedules of Electrical & Mechanical Equipment Enter Cost Effective Annual Maintenance Contracts, Effective Utilization of Equipment, workspace. 24/7 Help Desk process. Reduction of Power Consumption, Implementation of ERT Team, Visitor Management Process, First Aid & Emergency Preparedness Training. Workspace Allocation and Tracking.
- Corporate Information Management is comprised of Business Information Services, Creative Services, Reprographics and Printing, Mail and Distribution, and Records Management.
- Corporate Security and Investigations is responsible for physical protection of employees/facilities, pre-employment screening, crisis management and preparedness, investigation of internal or external fraud.
- Operations/Administration supports Corporate Services and the Firm through financial management, client engagement, risk management, communication protocol, staff training/development, and process/technology improvements.
- Travel responsible for management of the Firm's relationships with airlines, hotels, ground transportation vendors and the corporate card program.
Key responsibilities include:
- Facilities Management
- Routine maintenance of building operations and engineering systems
- Maintenance contract management
- Emergency call out and rectification services
- Moves, Adds, and Changes (MAC)
- Project Management of space construction
- Management, administration, and client engagement
- Provide leadership, strategic direction, and prioritize initiatives focused on client services, value delivery, system reliability, efficiency / cost control, training, budget / project planning, and resource management
- Play a leadership role in the Bangalore business continuity planning (BCP)
- Vendor manage outsourced service providers and maintain operating standards and procedures- Office Administration - Travel, Amenities, Reprographics, Mail & Distribution and Reception
Qualifications Skills required:
- Prospects for this position will have demonstrated the ability to manage and interact with staff at all levels in the Firm.
- The ideal candidate would have operational experience for a 24/7 organization with knowledge of the RIMS industry.
Qualifications / Experience Education:
- Strong credentials with a minimum of an undergraduate degree; a post-graduate degree is a plus.
Major Course of Study: Real estate / facilities management / engineering / business.
Language skills:
- English fluency is mandatory. Knowledge of Indian dialects is a plus.
- Communication skills: Excellent verbal, written, presentation, and interpersonal skills.
- Computer Literacy: Microsoft Office applications (Outlook, Excel, PowerPoint, and Word).
- Work experience: Minimum 15 years of relevant business experience Skills: Project management, analytical, and problem solving
