Director - Event Sales (10-20 yrs)

Administration :

- Oversees the preparation and update of the Events Departmental Operations.

- Conducts regular departmental communications meetings and ensures departmental briefings and meetings are effective and conducted as necessary.

- Maintains complete and supported records of all Events Sales Agreements, Contracts and Quotations for the Hotel.

- Establishes an efficient Events/Function Sales record to ensure that all businesses booked are properly tracked.

- Provides accurate reporting of booked Events/Function to the Sales Coordinator for monthly consolidation.

Customer Service :

- Entertains and conducts site inspections to relevant Companies representatives/ Government official / delegates whenever required.

- Spends time in each function/ event to ensure that the functions/ event are managed well by the Conferences and Banquets team.

- Liaises and works closely with the related operation departments ensuring guest's requests and expectations are being met.

- Gathers guest's comments and provides feedback to the Food and Beverage, both Culinary and Service ensuring that the quality of the products and services are consistent with guest's requirement and expectation.

- Maintains positive guest and colleague interactions with good working relationships.

Financial :

- Achieves the monthly and annual personal target and the Events Sales revenue.

- Assists with the preparation and regular update of the Marketing Departmental Budget, in close cooperation with the Director of Food and Beverage ensuring targets are met and costs are effectively controlled.

- Assists with the preparation of the annual Marketing Business Plan ensuring Divisional Objectives fully address business objectives of the hotel and needs of employees.

- Continuously seeks ways to maximise revenues and profits by cross selling and upselling other facilities and service.

- Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

Marketing :

- Monitors and analyses the activities and trends of other hotel's Banqueting departments and take proactive measures to ensure all events are well organised, innovative and exciting to set us apart from the competitors.

- Actively courts and develops sales and marketing activities with key industry partners such as travel agencies, convention organisers.

- Conducts extensive competitor research and maintains excellent Product Knowledge of the Hotel.

- Maintains strong, professional relationships with the relevant representatives from competitor hotels and other organisations, including tour operators and local travel agents.

Operational :

- Develops, monitors, and evaluates all catering related objectives, strategies, marketing plan and action plans with the Head of Marketing and Head of F & B so as to achieve or surpass forecasted revenues.

- Assists Marketing to review and evaluate the effectiveness of catering activities and adjust as necessary to achieve or exceed the objectives as outlined in the Annual Marketing Plan.

- Implements all Events Sales action plans related to responsible areas as outlined in the Marketing plan.

- Pre-qualifies and targets major Companies, utilising Events database and develop appropriate and effective sales solicitation strategies to increase Hotel's market share.

- Plans and makes Sales trips to Companies, which are our current and potential clienteles to explore into new Catering business opportunities.

- Ensures that all Events Sales employees are fully aware of market needs and trends and that their products meet these requirements.

- Works closely with the Executive Chef on creative suggestions and ideas.

- Works closely with other Department Heads in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.

Personnel :

- Oversees and assists in the recruitment and selection of all Events Sales employees; following hotel guidelines when recruiting and use a competency-based approach to selecting employees.

- Oversees the punctuality and appearance of all Events Sales employees, making sure they wear the correct uniform and maintain a high standard of personal appearance and hygiene, according to the hotel and department's grooming standards.

- Conducts annual Performance Development Discussions and supports employees in their professional development goals.

- Plans and implements effective training programmes, including all required Smart Selling Courses, for employees in coordination with the Training Manager and Departmental Trainers.

- Maximises the effectiveness of every Events Sales employee by developing each individuals' skills and abilities through the appropriate training, coaching, and/or mentoring.

- Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatt's Values and Culture Characteristics.

- Ensures all employees have a complete understanding of and adhere to employee rules and regulations; and follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.
