Role Title: Senior Manager - Project Management Office

Role Purpose :

The Project Manager is directly responsible for the day to day management of one or more projects with some level of complexity and scope. They are accountable for the delivery of the business and IT aspects of the project, ensuring the project is delivered on time and within budget, having realized the benefits to the business as outlined in the project Business Case.

Principal Accountabilities:

Key activities and decision-making areas :

1. Impact on the Business / Function :

- Initiates the project, obtaining authorization to start the project and scope the project. Engages the project Business lead and/or Steering Committee

- Plans effectively around delivery constraints and optimizes the plan to maximize benefits and minimize risk. Develops the plan within constraints, considering the delivery approach, key milestones, and dependencies within the plan, requirements and scope, effort and resources, budgets and quality

- Produce a well-defined project plan, identifying the key milestones and assigning responsibilities/resources

- Actively manages and coordinates the program plan/roadmap, handling changes as they arise and keeping stakeholders focused on the agreed change outcomes and benefits

- Plans and manages the implementation of the change, to ensure business benefits are realised and that the transition from the current state to target state is smooth. Ensuring that the organization and other change audiences are ready, willing and able to function in the new business environment

- Recording and circulation of minutes for Project Management Group Meetings. Tracking of action items.

2. Customers / Stakeholders :

- Build strong relationships, adopting a win-win approach, to execute change at a fast pace and with minimum conflict

- Works closely with delivery partners to shape the program, ensuring there are clear goals, benefits, scope, governance and delivery structure with planning, design and estimating, bringing together delivery and business partner teams; actively managing dependencies between these teams and other projects and programs

- Liaise with project stakeholders on an ongoing basis.

- Resolve issues and conflicts within the project team, highlight issues & Risks to the Project Business lead/sponsor in a timely fashion

a) Customer/stakeholder satisfaction relating to the project process and outcomes

3. Operational Effectiveness & Control :

- Manages and reports project risks, issues and dependencies, promoting good risk management across the program's workstreams

- Maintains project change control, ensuring any changes to baseline are managed through change request and all impacts are considered

- Compliance with external regulatory requirements, internal control standards and group compliance policy

- Proactively manage changes in project scope, identify potential crises, and devise contingency plans.

- Ensures governance processes and decisions are applied consistently, including engaging the programme sponsor /Business lead and stakeholders effectively

- Promotes and takes accountability for project quality; identifies opportunities to improve delivery and oversees the governance process to reduce risk and ensure effective & timely decision are taken

Major Challenges :

The main challenges of the job are manifest in the following areas :

- Management & Control changes in the projects

- Meeting deadlines and commitments for projects during crunch or tight timeframes.

- Co-ordination of premises, people, training, systems and equipment in liaison with line management.

- Collaboration and cooperation whilst working with members of other units and departments to assure coordinated and effective operations.

- Work with stakeholders to ensure projects are on track and ability to communicate effectively the risks and concerns without influence or bias.

- Ensuring that governance is implemented for changes to scope or timelines impacting the project delivery

Role Context :

- The job holder will have direct control over the planning and delivery of projects and may be required to work independently or part of a team that includes function heads to process owners. They must have an awareness of project management methodologies. They may be required to manage multiple projects involving interaction with several business areas.

- The jobholder will not be subject to close supervision so will be expected to exercise initiative in proactively overcoming obstacles to success. They will be expected to adopt a flexible approach in terms of working hours and travel to other locations.

Management & Leadership of Regulatory, Compliance & Operational Risk :

- Report any operational risk or operational risk loss to the line manager immediately (who is required to timely report to Operational Risk Coordinator) if the jobholder becomes aware of emerging or inadequately controlled operational risk or identify an operational risk loss in accordance with section B.1.2 of the Group Operations FIM

Observation of Internal Controls:

- The jobholder will adhere to and be able to demonstrate adherence to internal controls. This will be achieved by adherence to all relevant procedures, keeping appropriate records and where appropriate, by the timely implementation of internal and external audit/ review points, including issues raised by external regulators.
