- Management of the entire payroll. This includes: - The processing of all of our country payroll - Preparation of monthly payroll submissions and subsequent approvals - Timely and accurate payment of all staff - Monthly submissions/filings to all appropriate bodies - Management of the Payroll Team and responsibility for their motivation, development and, where appropriate, training - Work closely with TA Managers /HR Ops team in the provision of timely information, Payroll journals, etc. - Manage the relationship with all internal/external customers, especially within our HR, Finance and Company Secretary departments to: - Ensure their requirements are fully met and payroll is seen as a reliable centre for counsel on all payroll-related matters, both domestic and overseas (i.e. relocations) - Attend and contribute to all regular monthly meetings with Finance/HR to answer queries on payroll related matters - Deliver presentations and explain complex payroll-related scenarios to non-payroll colleagues - Setup, manage and monitor all Purchase Requisitions and manage the Invoicing and Receipting of all Payroll related expenditure - Work with our reward team to take responsibility for all payroll related functions : - Work closely with HR to make recommendations on tax policies etc - Work with external experts to ensure accurate and efficient management on all payroll matters - Take ownership for the management of complex payroll calculations and take joint leadership in communicating information to staff in a timely and accurate fashion - Ensure that all country-specific legal obligations are met .Research and highlight any future legislative changes that may affect payroll compliance - Conduct regular review of the payroll processes to ensure that the best possible service and value is obtained for company and its staff. - Be responsible for all internal controls and ensure Sarbanes-Oxley equivalent requirements are reviewed regularly with both internal and external audit teams. Maintain up-to-date records of detailed process documents - Ensure all payroll reconciliations and reports are produced and reviewed in a timely manner and provide feedback regarding any improvements to the payroll process - Agree any new payroll related initiatives/process with HR/Legal/Finance and where appropriate coordinate the changes with our payroll provider Essential Knowledge and Skills : - Demonstrable knowledge and experience of pay and benefits structures, especially in relation to worldwide tax regulations and requirements and all other elements of payroll management - Accounting knowledge and an understanding of the interaction between payroll and the general ledger. Previous experience forecasting/planning for changes to payroll - Experience in people management, including excellent delegation, motivation and communication skills - Experience of working with an outsourced managed payroll service - Systems literate with good working knowledge of MS Excel to advanced level and Word and PowerPoint to at least intermediate level - Strong report writing skills with the ability to conduct thorough research and author well substantiated memos/business cases - An analytical mind-set with a common sense approach to problems and desire for continuous improvement - Be a self-starter and ensure that all tasks assigned are completed according to deadlines - Strong communication and interpersonal skills Desirable Knowledge and Skills - Previous experience of working in an HR function
