Ajmera Realty & Infra - Operational Facility Head (15-20 yrs)
Profile Brief :
- Enhancing revenue & market share, by setting up independent Facility Management division as a new venture, transitioning and re-organizing business direction and formulating strategic plans
- Prospecting new business opportunities for expansion
- Financial Planning, Site Operations & defining policies, and processes.
- Techno-Commercial Operations, P & L Management, Profit Centre Operation, Budgeting
- Monitoring the day-to day operations. Organic growth, innovations, or initiatives for Clients
- Conduct monthly audits at the site to understand the service levels.
- Suggest relevant pre-emptive & corrective actions.
- Identify training, development needs of team
- Vendor and supplier management - co ordinates with procurement team in finalizing vendors, negotiations ,etc and processing the invoices for payments, validation of Invoices and Collections, etc of the Branch.
- Preparing the Management information reports on a monthly basis, profit & Loss reports, Yearly budgets.
- Responsible for all operational and maintenance issues related to Facilities Management, Contract Management, Asset Management, Financial Management, KPI and SLA Management, Profit center management etc.
- Responsible for overlooking the administration of the site ensure smooth functioning and ensure zero complaints.
- Human Resources Coordination, contract labour management & compliance
- Overseeing Client Billing , Client collections and vendor payments
JOB DESCRIPTION OF OPERATIONAL CUM FACILITY HEAD :
Strategic Panning :

Administration & Security :
- Responsible for overlooking the administration of the site ensure smooth functioning and ensure zero complaints.
- Responsible for smooth management of different events without any issues
- Ensure proper housekeeping of the property to maintain hygiene.
- Responsible for managing administration overheads and ensure cost saving.
- Ensuring for submitting MMR Report on monthly basis to the Senior Management.
- Responsible for monitoring of the following Security Systems across the site:
- Physical Security, Electronic Security Systems, Firefighting, etc.
- Responsible for overall security arrangement at site
- Identify, negotiate, manage the security service agencies for the site.
- Assess the manpower requirement at the site and deploy manpower as per requirement to ensure that the site has no inadequate/surplus manpower.
- Conduct at least 5 surprise checks in a month to ensure security agencies are working properly.
- Oversee security drills at site on a regular basis.
Human Resources Coordination :
- Responsible for dealing with labour contractors and deploying labour to different departments as per requirement.
- Regular coordination with the head office for smooth cascading of new rules/guidelines at the site on day-to-day basis
- Responsible for Ensuring Statutory compliances.
Electromechanical & Civil/ Structural Maintenance :
- Responsible for upkeep of AC, CC TV, BMS, PE system, firefighting system, HVAC, DG, transformers, Lifts etc.
- Ensure AMC for all these machineries are renewed on timely basis without any increase in cost.
- Ensure any complain is attended with 1 hr of such complain.
- Ensure there is smooth running of all operations by maintaining zero downtime of all the electromechanical equipment.
- Ensure Building Civil & Structural maintenance on regular basis.
Billing & Payment & Vendor Management :
- Ensure for raising of invoices for the clients and ensuring timely payment/collection.
- Ensure timely payment of all statutory fees to avoid any penalty/late charges.
- Ensure timely forwarding of bills for HVAC and electricity bills for all clients.
- Responsible for scrutiny of various quotations submitted by different vendors, negotiation for best rates, and process it through proper channel for approval.
- Responsible regular checking bills and passing them for payment on a timely basis to avoid any delay in payment.
Parking Management :
- Responsible overlooking the overall parking for the site.
- Responsible for allotment of parking spaces to different clients based on their contract.
- Managing the parking team employed through contract and ensuring regular training of the parking staff.
- Responsible for regular patrolling and vigilance to ensure smooth operations on regular basis and abidance of the traffic rules.
