AgroStar - Senior Manager - Administration (8-12 yrs)

Responsibilities :

The Head of Admin will focus on Office administration, facilities, logistics, travel management, event management, large office setups, Procurement, infrastructure management and Accounts & Finance.

1. Office Management :

- Responsible for the whole office administration including facilities, security, cafeteria, housekeeping and maintenance & repairs

- Vendor negotiations & Managing AMCs/SLAs with good cost effective measures

- Responsible for saving costs by introducing best practices, processes & systems

- Ensuring optimum utilization of FMS, Security & Garden staffs

- Ensuring the optimum use of Utilities

- Vendor negotiations & ensuring the optimum use of utilities, by introducing best practices, process and systems

2. Strong business acumen with a knack of connecting non-financial data with financial data and ability to work with cross-functional stakeholders

3. Analysis and Reporting :

- Presenting and discussing the scope of Savings and Reduction with All stakeholders Analysing MIS report on quarterly basis for all location and highlighting the necessary changes required to all stakeholder

- Reviewing Monthly Cost deduction report and highlight errors if any

- Tracking all Miscellaneous Expenses and present quarterly report of the same to Management

4. Looking after internal audit and keeping the documents ready for external audits as per audit requirements

5. Preparing budgets, MIS, Payroll calculation, billing report, operations and facilities report, IT and non-IT inventory management with timely reporting to stakeholders

6. Manage all aspects of the office's space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources and solutions as requested

7. Tracking all Miscellaneous Expenses and present reports of the same to Management

8. Presenting and discussing the scope of savings and reduction with all stakeholders, analyzing MIS report on quarterly basis for all location and highlighting the necessary changes required to all stakeholder

Skills and Qualifications :

- 8-12 years of office management experience

- Excellent written and verbal communication skills

- Strong time-management and people skills, flexibility, and multitasking ability

- Good working knowledge of TDS, ESIC, PT, PF, VAT, Service Tax, Customs, STPI (APR, Softex, QPR filings) along with local and other state compliances

- Proficient in using MS office tools viz. Excel, Word & Powerpoint
