Administrative & Logistics Manager - Agriculture Consulting Firm (5-10 yrs)

Company Profile:

A French agriculture consultancy involved in research, production and marketing of vegetable plant varieties, seeds etc.

Responsibilities:

The administrative and logistics manager will be in charge of keeping:

- the accounts of the company in partnership with an external accounting firm,

- the administrative management of the company on a daily basis,

- the logistics activities related to the import and export of seeds (import from France of packed seeds and export to France of bulk seeds produced in India).

More specifically, under the responsibility of two directors based in France, the administrative and logistics manager will be responsible of:

- Obtaining the various licenses and authorizations for the import, export and trade of vegetable seeds;

- Planning shipments, preparing shipping documents (like invoices, purchase orders and bills of lading) and maintaining updated records of orders;

- Ensuring procurement, including keeping track stock levels, delivery times and transport costs and liaising with suppliers to ensure timely payment and receipt of goods;

- Maintaining good relationship with the seeds producer network in India and preparing contracts for directors signature;

- Keeping inventory and organize reporting;

- Handling the administrative functions on day to day basis;

- Drawing up budgets for both commercial and production activities, managing spending within budgets, and providing justifications for variances and financial reporting to the directors;

- Planning, coordinating, monitoring and reporting on activities and required resources. Anticipate challenges to ensure service continuity;

- In the first step, providing the reception and secretarial functions;

- Ensuring administrative systems, processes, and policies are in line with group standards and India law regulations. Proactively monitoring the regulatory environment as it relates to importation law;

- Serve as the key liaison and maintain relationships with relevant external stakeholders (landlords, service providers, etc.) on assigned administrative matters and ensure required authorizations and documents are up-to-date.

- The list of missions is non-exhaustive and may evolve according to the needs.

Skills and competence:

- Hold relevant Administration and Logistics qualifications. MBA desirable;

- A minimum of 5 years-experience, including administration and logistics services to a company. Procurement experience and/or office management experience would be a plus;

- Multitasking;

- Be proactive;

- Autonomy;

- Basic accounting knowledge;

- Good analytical and report writing skills;

- Strong organizational skills with attention to detail

- Ability to develop close working relationships with internal and external stakeholders;

- Ability to adapt to different cultures;

- Proficiency with MS Office Suite (Excel, Word, PowerPoint, Teams);

- English level: advanced. French would be a plus.
