Role Overview: The Bid Management function is a part of the Solutions function and is responsible for project management for bids. The team is the process owner of the solutioning playbook, they are responsible for quality, integrity and the evolution of the solutioning process. The team works on the largest bids in the organization and is responsible for end-to-end management of bids to ensure that process is followed, the timelines in the Project Plan are met to complete and submit a quality bid on time.

The core responsibilities of a Bid Manager are as follows:

Project Management

- Own the solutioning process

- End-to-end management of the largest bids as per ACV and TCV. Manage all upstream and downstream activities in a RFx deal cycle

- Support hunting and farming activities of the Sales team

- SPOC for the bid for the pursuit team

- Support the completion and submission of RFx's from all verticals. No specific domain expertise is required.

- Ensure the pursuit team is aware of the bid management process

- Prepare project plan and roles and responsibility matrix for each bid

- Ensure the bid management process with all the milestones is followed and timelines are met

- Send daily update emails on the project plan adherence. Follow the escalation matrix for variance in the project plan depending on numbers of days- delay. Timely escalations

- Communicate clearly and regularly with the pursuit team on the health of the bid

- Get all templates filled as per the process. Ensure the quality is as per the benchmark

- Liaise with graphics and editing teams for final formatting and editing

- All bids need to be on PACMan and submitted files need to be archived on PACMan

- Complete key learnings sheet and document unique aspects of the bid on shared drive during the bid management process and after the submission

- Follow up with sales teams on status of bids for win/loss analysis

Content Management

- Ensure record retention policy is adhered to on PACMan and shared drive

- Work on standard responses in the RFx, get them reviewed by the reporting Manager. Should be able to create standard content, if required

- Encourage use of portals. Create awareness through awareness drives across teams on our portals

- Include all non-standard responses in the standard responses repository after each bid

Technology & Automation

- Streamline (& potentially automate) the data collation process for Bid Management - MIS, feedback forms, training kit for new hires etc.

Stakeholder Relationship

- Manage relationships with stakeholders to understand the deal cycle better and the support they require from the Bid Management team

- Conduct feedback surveys regularly to plug gaps and initiate and manage improvement programs

Projects

- Manage the ownership, penetration and value creation through the Expert Network channel

- Any projects that can help enhance the function's capabilities and output

Strategy and MIS

- Maintain MIS for the board, executive management, function head, etc.

- Support strategic decisions by analyzing data

- Maintain and publish insights through the sales CRM on our pipeline, hot prospects, etc.

- Communicate with Sales and Solutions and conduct feedback surveys with both teams on gaps and support required from each other

- Publish an - insights- report after every bid with the pursuit team and senior management on what went well and what didn- t

Experience required:

- 10-12 years in the ITes industry with at least 5-6 years- experience in the Bid Management function in a reputed BPO/KPO

Education and qualifications:

- Graduation: Mandatory

- Post-Graduation: MBA or equivalent business programs are preferred

- PMP Certification preferred

- Advanced MS office capabilities - Excel, PowerPoint, Vision and Word

- Additional Qualifications: Education / competencies in content development and editing would be preferred
