Job Description

The role requires to ensure smooth functioning of Sales process administratively and ensuring timely & prompt execution of orders / services to the trade.

Further this role ensures efficient handling of legal / IR related issues, administration, complete statute compliance, compliance to company's systems and procedures.

The candidate would be responsible for all the MIS / Reports to the concerned stakeholders. The incumbent will have to act as an effective leader with a positive attitude to assist the sales team as and when required.

SPECIFIC FUNCTIONAL DELIVERABLES

ADMINISTRATION

Implementation of company's policies / procedures that include : Tours / Traveling, Conveyance Expenses, Medical / ESI Scheme, Subsidy Scheme, Telephone, Attendance / Leave Rules, Gratuity / Provident Fund, Any other functional aspect. (This is for all the personnel placed at Location including RMs)

Employee Relations

Ensure implementation of various staff welfare schemes and organize special programs.

Reporting to HO

Ensure that all the periodical reports on the Commercial functions are submitted well in time. Submit data/statements as and when required by HO. Maintain MI file on staff strength at the Location and send details whenever required.

Office Administration Establishment

Maintenance of Office timings / holidays, Attendance control / leave record, Receipt / distribution/despatch of couriers, Proper handling/safety of company's documents / files / records

Maintenance of office premises.

Company Vehicles

Ensure proper control on usage / maintenance of all company vehicles

Printing/Stationery

Review of requirement / sanction, Purchase of stationery / finalization of printing contracts as per designs approved by HO Corporate, Communications Department, Distribution / record of utilization.

Relationship Management with external Dealers / FLSPs (internal employees

Attend dealer queries and sort out their problems. Ensure prompt service to them by giving priority to their claims / incentives. Spend sufficient time with sales personnel with a view to make them more effective.

Maintenance / Administration of Co. premises.

To ensure protection of tenancy right and guarding Company Premises as per local laws.

Company shops

Regular inspection of company shops. Control of shop in charges regarding stocking, cash handling, customer services and compliance of rules. ERP Co. shop entries

Sewing Schools

Processing of sanctions for replacement of sewing machines and other requirement whenever necessary. Maintenance of school premises and records as specified.

Legal

Arrange for filing of legal suit under HO instructions for :- Over-due bills receivable, Cheque Bouncing under Negotiable Instruments Act, Maintenance of tenancy right of premises and management of other cases as per contingency

Defend suits filed against the company

Regular follow up of all legal cases for/against the company and expeditious execution of decrees in case of money suits. Prompt / disciplinary action in case of misconduct/violation of Co. rules.

Compliance of Statutes

Ensure compliance of laws/rules applicable to all company's establishments in the Location including:- Local shops and establishment Act, Employees State Insurance Act, Minimum Wages Act, Gratuity Act, Employment Exchange Compulsory Notification of vacancies Act, Timely submission of returns and deposit of tax under VAT/Service Tax/TDS and Professional tax

Legal Reports / Expenses Control

Submission of monthly report / date-wise hearing report and any other report specified by the legal department. Negotiate and settle reasonable fees with the advocates as per HO guidelines.

Control other expenses on legal cases.

GENERAL ADMINISTRATION

Process sanctions for expenses. To ensure insurance & proper coverage of all company assets including company vehicles

Maintain contacts with the local authorities including: SHO of the local police station, IG/DIG/SP of the state/his office, Labour and Conciliation Officers, Area Manager Telephones, Travel agency, Hotel PR Managers / Officers

PERSONNEL

Inform Staffing Position to RM HR including joining and leaving details of the personnel. Coordinate with RM - HR for filing of vacant positions immediately. Ensure completion of all joining formalities and orientation programs and provide all possible inputs to new inductee. Evaluating performance of the respective support staff and give feedback for improvement in development areas. Have congenial and open work environment in the Location office. Maintenance of personal files of all employees placed at the Location.

Maintenance of registers on the following:- Personnel Turnover, Confirmation, Retirement, Welfare Schemes, MI file on staff strength, Dearness Allowance

WAREHOUSE MANAGEMENT

Stock / Inventory

Review of Stock in Storage Location 1 including stock at Company Shops. Review of Stock in Storage Location 2 and propose for action to be taken for matching unmatched stock. Review of Blocked Stock and reasons for blocking the same and action to be taken for unblocking the same. Review of stock due from local vendors. Consignment stock, Stock in Transit, Stock Due to Trade, Review of PO / STO, Review of Open / Pending Orders and action taken to clear the same, Review of stock transfer to Shop, Gift Stock

Bills Receivables

Review of Overdues. Review of Documents negotiated through Banks, Review the sale of company shops and posting the same in SAP, Clearing of Blocked Orders, Disposal of obsolete stock against HO sanction. Replace defective stock to the dealers as per Company's procedures. Arrange to despatch defectives as per procedures to respective vendors. Ensure proper maintenance of records for defectives. Arrange verification of defectives as regards the warranty terms. Ensure replacements of defectives to trade within the framework of the Organization Policies

Godown Management

Finalize transport agreement/arrangements by continuous negotiations to ensure best possible rates. Finalize arrangements for loading/unloading of materials and ensure periodical review for economical rates. Ensuring adherence to the stacking norms of the organization. Physical stock verification on monthly/quarterly and annual basis including spare parts. Reconciliation of physical stocks with the stock books in the Godown / Location / company shop. Ensure that there is no unaccounted stock at any point of time in godown / shops. Ensure delivery schedules in a most economical manner so as to save cartage expenses.

ACCOUNTS

Supervise and ensure maintenance of proper books of accounts.

Ensure all supplies made as per payment terms. Ensure regular and timely submission of periodic reports. Timely & correct submission and deposit of VAT, TDS, Service Tax, ESI, Professional Tax & Labour Welfare Fund.

Control on expenses

Prepare annual budgets for various expenses heads. Periodically reviews the budgets fixed for the location and ensure strict control on the expenses. Ensure that no expenses are incurred without sanction or beyond budgetary limits.

Claims Management

Call back documents/consignments in time so as to avoid over-dues from becoming legal. Monitor the bills receivable vis--vis collections with a view to prevent bills from going over-due / irrecoverable. Liaise with vendors to clear the claims within stipulated time schedules.

SALES SUPPORT SERVICES

Dealer Services

Ensure prompt action/service to dealers/customers regarding : Despatches, Defective Replacements, Settlement of claims, After sales service. Take action on dealer visit reports. Ensure communication of company policies / schemes in time. Ensure that relevant publicity material is received by dealers in time.

Agenda / Minutes

Co-ordinate for preparation of agenda for various monthly meetings and provide commercial assistance to the PIC / RM. Make minutes of the commercial meetings and also follow-up regarding action to be taken and report to the HO Administration & Commercial Head.

Monitor Schemes

Ensure proper communication of schemes well in time to dealers / sales personnel as approved by the RM / SBU Head. Ensure prompt settlement of claims/incentives under these schemes.

Dealer Network Management. Signing of authorized dealership agreements as per RM / SBU Head sanctions.. Arrange for supply of sign board, promotional literature etc. to newly appointed dealers.

Maintain Directory of selling points i.e. authorized/nominated dealers, agents, company shops etc.

Management Information

Record of publicity expenses sanctioned/utilized on a selling point-wise basis. Any other as may be specified by RM / SBU Head.

Desired Candidate Profile

Education-

UG:Any Graduate - Any Specialization, LLB - Law

PG:MBA/PGDM - Any Specialization, M.Com - Commerce

Doctorate:Doctorate Not Required

Desired candidate profile is Bachelors degree in any stream (preferably commerce).

Further Candidates with Graduation + LLB as a qualification will be given preference.

Overall experience will be at least 10 years with last 3 to 4 years into Branch Operations handling Large territories. Apart from Consumer Durables, candidates from FMCG, Paints, Automobiles and Electrical / switchgear industry are also welcome to apply.
