Context

ETS enable the Unilever Compass Strategy by delivering differentiating technology capabilities and competitive services through portfolio investments to give Unilever a competitive advantage. Effective governance of programs and projects is key to driving alignment and value through the portfolio. PMO capabilities, including the framework of formal process and enabling tool set that ensures consistency and quality of effective governance.

The objectives of the PMO are to achieve:

- Greater value through effective Portfolio Governance with quality portfolio information

- Improved project delivery through use of project management standards, guidelines and best practices

- Aligned ways of working for efficient and effective project execution/delivery in a global business

- One source and version of the truth of portfolio information, leveraged for multiple purposes

Output from the PMO is tuned to each audience with a purpose, covering:

- Transparency and consistency of portfolio information for effective governance

- Prioritization and choices in the portfolio

- Planning and tracking milestones

- Planning resources

- Tracking benefits

- Reporting status

Key Accountabilities:

Effective Portfolio Management and Information Quality

Manage Clarity tool and Business Objects Reporting to effectively support portfolio management ensuring:

- System availability. Application is available to support business requirements with outages appropriately scheduled and stakeholder communications effective.

- Systems performance. Reviews are planned to identify performance issues or opportunities to improve performance, and changes are implemented to adjust configuration or software. Recommend remedial action to maintain performance at the agreed levels.

- All relevant technical problems arising during operations are investigated and promptly and effectively dealt with, keeping appropriate teams informed.

- Maintain and communicate technical standards relating to the software environment, with the aim of ensuring consistent operational performance and control with high service availability.

- Ensure the highest level of security in the systems software environment, including full compliance with current Unilever Security Policies.

PMO Capability Development:

- Provide Subject Matter Expertise (SME) skills (e.g. Clarity, Business Objects) to the GPMO team, to lead the delivery of functionality for changes and new releases.

- To assist the GPMO staff in the definition of in-depth requirements for functional changes.

- Maintenance of reporting functionality and supplemental support for automated solution (i.e. Tableau).

- Ensure that the enhancements, extensions and maintenance upgrades to the application environment are prioritised, planned and implemented in line with agreed plans.

- Create and implement plans for development and enhancement of the Clarity application environment.

Supplier Management:

- To work fully with the current provider (Infosys) to ensure delivery of all Changes, Release and Business as Usual updates and that solutions adhere to defined standards

- To assist in the definition of in-depth requirements for functional changes.

- Validate technical designs proposed by the supplier

Operations:

- Work with PMO Director to design/operate PMO aligning with Marlin for continuous improvement

- Communicate / Promote / Activate GPMO initiatives to all Stakeholder groups (demand and supply) and champion active adoption and usage

- Operational administration including but not limited to user account creation and Schedule of Authority (SoA) workflow management

- Portfolio delivery with quality ensuring issues are resolved quickly and prevented from reoccurring

- PMO Master Data Management to align Clarity tool with Sharepoint documentation and operating procedures. Document and track changes to PMO Master Data via a Data Dictionary

- SharePoint - PMO and IPIX Teamsite maintenance (Interface with Infosys team to provide user support; maintenance, bug fixes and development, Control access of users Teamsites, Timely PMO updates, e.g. Portfolio Reports, Announcements, Calendar)

- Active Participation in driving continuous improvement by monitoring performance and quality of PMO Support Services provision via Infosys

Test Management;

- Provide User Acceptance Testing (UAT) leadership working with GPMO team and partners

- Based on change request SharePoint site, including Change Request (CR) process and templates, leverage partnership resources to scope test plans and testing scenarios for each release then run appropriate UAT including defect reporting and resolution and communication of outstanding issues to training and communications leads.

- Review documentation during all phases of release cycle for testing related inputs and outputs and contribute testing expertise to ensure quality of process and tool updates

- Coordinate user acceptance testing communication to Change Board via release acceptance criteria

Key Interfaces:

- PMO Portfolio Managers and Analysts

- External Providers (Infosys, CA, Pemari)

- Services and Expertise teams in Unilever

Relevant Experience:

- Strong project management experience including SDLC (both waterfall and agile), data migration and cutover activities (around 5 years experience)

- Management of an operational service maintaining the highest levels of service, whilst continuing to deploy enhancements to that service (around 5 years experience)

- Co-ordination of both onshore and offshore teams, with experience in working with cross cultural environment (to ensure proper engagement with team-members from all locations)

- High self-motivation and focus to work with minimum of supervision and deliver against agreed targets.

- Strong stakeholder management and communications skills to ensure that technical issues and recommendations are clearly conveyed to and understood by other members of GPMO.

- Strong customer service awareness to keep the customers- requirements constantly in mind and ensure that activities align closely with these requirements.

- Exposure to multiple varied industries, preference for FMCG

Key Skills:

- Technical expertise in PPM or ERP software, CA Clarity PPM preferred

- Other technical skills to include ERP/PPM software, SQL/NSQL/GEL, Business Objects, WEBI & Crystal Reports and appreciation of Windows as an operating system, Oracle databases and Business Objects

- Good working knowledge of the infrastructure/environment including the set-up of application and database servers, Windows operating system & Oracle databases.

- Team/Line management, will be required to directly manage a team of 3 and indirectly a supplier team of 8

- Business change expertise, inc training & communications
