Business Context and Main Purpose of the Role :

The need for this increasingly Agile and Mobile workforce is happening while the sheer volume of available devices and services required by the business is dramatically multiplying. However, at the same time the business needs us to deliver robust mobility services whilst relentlessly driving down cost. The Mobile and Devices team plays a pivotal role in enabling the levels of mobility and agility that Unilever needs to succeed.

The purpose of the Portfolio Manager is to deliver business change in the relation to our Mobile and Device services and offerings, in line with the strategy, effectively balancing introduction of change with business as usual. The position plays a direct role in setting the direction and ensuring the delivery of our major programmes.

The Portfolio Manager role ensures that change initiatives are:

- Set to achieve the desired contribution to strategic objectives.

- Managed in a consistent way to ensure efficient and effective delivery.

- Realising benefits and return based on investments made.

- Understood within the context of the broader portfolio.

- Categorised into logical groups of initiatives.

- Prioritization - Based on a balance of risk vs return.

- Balanced - Ensuring the volume of change is manageable and impact to BAU is acceptable.

The Portfolio Manager reports to the Portfolio & Delivery Manager.

Main Accountabilities :

The Portfolio Manager is responsible for delivering change initiatives across the Mobile and Device portfolio from Feasibility through to Launch. The Portfolio Manager is responsible for supporting setting the direction, defining ways of working, optimising processes and for ensuring the change initiatives are delivered in line with defined scope and requirements, within budget and timelines and activated through strong business change and comms adoption.

To underpin these areas of responsibility, the Portfolio Manager will define, manage, introduce, embed the following principles / practices into the mind-set of the Programme and Project teams to ensure a consistent delivery approach:

Management Control :

Production and management against a baseline for what is to be delivered. Ensuring progress at an individual initiative and portfolio level is regularly monitored against the baseline, ensuring delivery remains on track and strategically aligned. The portfolio manager should achieve this through the introduction of defined processes, templates and providing direction as an SME, regular progress reporting, staging and phase gates and regular portfolio level reviews.

Finance Management :

Ensuring the effective management of portfolio budget at a portfolio and individual initiative level. Tracking and managing actual spend against forecasts and governing how spend is released throughout the lifecycle of the programme / project through effective governance.

Resource Management :

Implement and manage mechanisms with which to understand and manage the level of resources available and required to support delivery against the portfolio. Supported by clearly defined demand and regular review of resource schedules with support from the Service Line PMO. As an SME develop and nurture talent across the team.

Risk / Dependency Management :

Ensuring the consistent and effective management of the portfolio's exposure to risk at both an individual initiative and collective portfolio level, as well as managing both in service line and cross service line dependencies.

Stakeholder Engagement :

Providing a consistent approach to stakeholder engagement and communication, ensuring the right stakeholders are kept abreast of delivery against areas within their interest, across various levels of the organisation.

Portfolio Governance :

Defining the governance structure for the Service Line, from Executive level, Management Progress Board level, through to Programme / Project board level. Through this governance structure, the Portfolio Manager will share the vision of the portfolio, provide regular reviews of progress and embed an escalation path for decision making and exception management.

Programme & Portfolio Management :

- Accountability for programme and portfolio management of all projects delivered by Mobile and Device Services.

- Ensure Programme and Project deliverables meet agreed time, cost and quality measures.

- Detailed implementation planning and definition of work plans for all subtasks to achieve programme deliverables

- Definition of programme governance and production of regular reporting on programme & portfolio status.

- Escalation point and relationship management for internal customers and vendors, in relation to delivery of milestones and project results.

- Ownership of all portfolio and programme deliverables and KPIs.

- Creation and ownership of Risk, Issues and Dependency register impacting the Mobile and Device portfolio.

- Monitoring of budget relating to programme deliverables, providing regular update reports to Key Stakeholders.

- Key stakeholder relationship management of the key interfaces to relevant governance boards, IT management and business contacts.

- Ensures deployment of appropriate solutions within Unilever in line with the roadmap and strategy.

- Works with the sourcing partners, the IT Business Partners, the Unilever PMO, and Unilever Cluster / Country IT leadership to review and prioritize service requests (SRs)

- Accountability for gating Projects into the Project Funnel and aligning with standard project processes.

- Ensures that monthly reporting package to be submitted to Unilever stakeholders is accurate and complete.

- Build strong cross-region relationships to ensure that solutions are fully understood, planned and executed by project delivery teams.

Resources :

- This position will involve direct line management responsibility for Portfolio Analyst resource.

- The position will require the ability to manage complex virtual teams.

- The position will also involve close collaboration, partnership and working with key Vendor delivery teams.

Critical Success Factors for the Role :

Relevant Experience

Essential :

- At least 10 years- experience as either a customer manager or supplier manager at Unilever or another global organisation.

- At least 5 years- experience with the management or operation of outsourced and third party contracts.

- Proven experience in managing IT Service providers and suppliers in delivering IT projects and services in a global environment.

- Strong appreciation of the service and governance processes and challenges.

- Excellent overall knowledge of wide areas of IT practice and applications.

- Proven experience of leading and managing teams in a diverse and globally distributed environment.

Desirable :

- Excellent knowledge of structured service delivery methodologies such as ITIL

- Excellent knowledge of supplier management best practice such as e.g. TPI

- Excellent project management skills in line with best practice such as PRINCE2 and /or six sigma

- Understanding of operational controls for risk and compliance such as COBiT / OCA / SOX

- Experience of ITT and RFP with a range of suppliers for infrastructure and application environments.

- Excellent commercial awareness and understanding of providing TCO models
