Title : Assistant Manager - Real Estate & Workplace Management

Position Summary

The Assistant Manager will initially oversee the constructions/fit-outs of the new office space leased by Time Inc. India- in Outer Ring road, Bangalore. He/she will be responsible for day-to-day management, oversight and coordination of all aspects of the fit-outs. The Assistant Manager will report to the Sr. Manager and will keep him updated on all activities and progress of the project. He/she will ensure that the project is completed within the stipulated timelines while meeting all requirements, design criteria, safety norms and project guidelines.

Post the completion of the Project (early 2016), the Assistant Manager will be responsible for the management of the Time Inc. India office(s) and will be involved in the Workplace Management requirements.

Responsibilities

Project Management

Assist in design finalization and conceptualization

Coordination with the PMC/vendors to ensure project completion within stipulated timelines

Ensure quality standards are met and delivered by vendors

Ensure necessary design and project approvals from authorities within TII

Maintain project timelines, provide regular updates to management

Ensure Project is completed within budgets

Monitor budget overruns, project delays

Coordination with building management, PMC, vendors,design consultants

Oversee installation of electrical equipment, HVAC, BMS, PAC etc.

Project handover, documentation, AMCs

Coordinate move of employees between offices on completion of project

Workplace Management

Assist in and oversee Workplace Management activities like housekeeping, security, office cleaning, cafeteria management, technical services, BMS etc.

Oversee catering and pantry management - ensure health and safety requirements are met and of the highest standard

Travel & Accommodation - Oversee and manage Travel desk responsible for the travel and accommodation requirements of employees

Stakeholders- Management - Travel coordination, accommodation, car services, planning and managing team events

Transport Services- Oversee the Transport Desk which provides transport services to the employees, stakeholders and management

Vendor Management - Liaise with vendors to provide office supplies etc.

Asset Management- Maintain and update lists of assets, AMC requirements, serviceability of office equipment

Project Management & repairs - Coordinate and oversee office repairs, projects etc. in line with the office procedures

Liaise with the Builders and Property management for day-to-day requirements

Conduct safety training, evacuation drills as per policy

Coordinate with and update the Time Inc. Facilities Management Team (New York)

Plan and Manage Facilities budgets on a quarterly basis

Provide weekly, monthly and quarterly updates on all activities to Sr. Manager

Position Requirements

- 8-11 years- experience in Workplace Management/Facilities of a large corporate company

- 4-5 years- experience of handling fit-out projects for offices - 30,000 sft

- Strong computer skills- MS Office (PowerPoint, Excel, Word)

- Strong presentation skills

- Strong Communication skills- verbal and written

- Fluency in English & Hindi; knowledge of Spoken/written Kannada preferred

- High levels of personal integrity & work ethics

- Adaptability, strong drive/ambition to succeed, self-confidence

- Strong fitment with the company values and culture

- Strong personality and focus on achieving goals and delivery

Educational Requirements

- Bachelors- degree in engineering or related fields

- Certification in Construction/Real Estate/Facilities will be given preference
