Reporting To: Director Operations

Direct Reports: Team Leaders & Assistant Managers

Typical Target Roles: Operations Manager, Manager or Sr. Manager Operations

Team Management: up to 50

Preferable: Research or Analytic Operations experience

Principal Purpose of the Job:

- Accountable for ensuring key renewals events are actioned in a timely and accurate manner for the IP Portfolio Assurance business unit.

- The role holder must be able to demonstrate the ability to continuously improve timeliness of actioning key renewals events in order to ensure that renewals are actioned and evidenced on time.

Main Accountabilities:

Taking ownership:

- Manage the Renewals Management function to ensure that key events are actioned in a timely manner.

- Take ownership of Client Engagement support activity to add value to clients

- Review and implement opportunities to streamline core renewal management process steps in order to improve efficiency.

- Drive a culture of continuous improvement

- Manage client escalations with appropriate root cause analysis and process improvement.

Succeeding Together:

- Align Renewals Management team objectives to the business goals of the IP Portfolio Services business unit.

- Engage with Client Engagement and Support function deliver against bespoke client requests and requirements.

- Engage with the Service Delivery function in Jersey to ensure optimal end to end process design for the IP Portfolio Assurance function.

- Support Client Engagement and Support and Service Delivery functions to deliver against client requirements when processing instructions and send renewal confirmations and certificates

- Align with Supplier Management function to monitor and improve performance of local agents.

- Drive a high performance team culture

- Encourage an effective team dynamic through the recruitment process, managing performance and ongoing team development.

- Build and adhere to framework to ensure that all team members are trained on jurisdiction specific renewal process and are informed of relevant changes in IP Law

Achieving Excellence:

- Implementation and adherence to a quality framework that ensures instructions are actioned with zero process failure.

- Improve controls around critical process points to avoid process failure and to reduce risk

- Drive efficiency and productivity to realise benefits

- Implement and adhere to performance measures against timeliness of processing for renewal instructions and retrieving evidence of renewal before due date

- Convey value to clients through ensuring that all key renewal events are actioned on time, every time.

- Manage capacity around peak volume fluctuations to ensure adherence to agreed SLAs

- Ensure that any data related queries that are raised add value to our IP Portfolio Services clients.

Skills/ Experience Required:

- Experience of managing and leading a large team successfully

- Excellent communication skills

- Strong background in principles of operational management

- Ability to lead teams

- Adaptability to a dynamic and ambiguous environment

- Able to operate on own initiative
