Job Title : Project Management Officer

Reports To : Chief Executive Officer

Department : CEO’s Office

Job Location: Noida. However candidate should be open for travel / relocation.

Job Purpose:

- The purpose is to ensure that projects are delivered on time, within budget and are achieving the required benefits. The PMO is established to provide the organisation with project management resource and expertise to ensure the successful delivery of assigned projects including large and/or complex and high profile projects.

Principal Accountabilities

Key Focus Areas

1. Plan, monitor and manage execution of all assigned projects to ensure on time – in budget – high quality project delivery to clients

- Ensuring Project planning activities-

- Approval for project plan before initiation of any project

- Finalize and review project budgets and establishing control.

- Work closely with client to develop project execution strategy and KPIs to monitor implementation of the same

- Monitor project progress on a routine basis and work closely with different departments to ensure timely course corrections as needed.

- Monitor and present various progress reports to management and client where required.

- Proactively identifying potential challenges and apprising senior management of issues and concerns.

- Work with technical departments to ensure proper deployment of resources and smooth functioning of matrix functioning.

- Lead and manage client relationship for the project(s) through periodic update and feedback meetings, bringing in the CEO at appropriate times.

- Monitor the implementation of strategic initiatives in project activities.

- Minimize any extra cost for changes requested by the client.

2. Drive and manage internal and external relationships for effective and efficient achievement of project goals

- Support marketing and business development teams to develop project definitions for pre-sales.

- Participate in pricing decisions and support client negotiation and contracting.

- Manage the project technically and contractually.

- Be fully aware of all contract documents agreed between the client and all other parties in order to comply with the clauses and requirements of these contracts and act accordingly.

- Handle contract correspondence with client, consultants, contractors, authorities etc

- Review all tender documents and bills of invoice to consultants.

3. Provide support and motivate the project teams

- Ensure timely hiring of Project Manager and all resources under Project Manager.

- Drive goal setting and performance appraisals for all project reports.

- Oversee appropriate project orientation and provide specific skill and functional knowledge development as required for each project.

- Ensure appropriate succession planning for key positions on project with an emergency back fill plan for each position.

- Communicate information, policies and decisions to project team in a timely manner.

- Review team performance and oversee linkages with compensation, promotion and career planning.

4. Create industry networks and benchmarking opportunities

- Establish and develop professional relationships with peer professionals in the industry.

- Remain updated on global best practices on project management.

- Maintain awareness of industry best practices.

- Adopt and adapt leading operations management concepts and best practices.

5. Ensure regulatory compliance

- Ensure compliance of all project work with various government and market requirements.

- Ensure implementation of all HR policies in department.

Key Stakeholders

(Internal & External) - Internal: CEO, Chief Operating Officer, other Department Heads, Project Managers

External: Key Clients, Business Partners, Key Vendors & Contractors

Education & Experience

- Should be a CA (Chartered Accountant)

- Minimum 2 to 3 yrs experience as a CA with a reputed organisation

Key Skills and Knowledge/Functional skills / capabilities:

- Analytical

- Exposure to project management

- Stakeholder management

- Understanding project environment

- Interest in financial activities like tax planning would be a plus. (Though it’s not a finance role)

- Customer orientation

- Cross-cultural sensitivity
